How to manage multiple Klaviyo accounts as an agency
Search the Klaviyo community for "agency account" or "manage different clients" and you'll find years of people asking the same questions. How do I switch between clients without logging out? Can I see all my accounts in one place? Why am I copying numbers into a spreadsheet every Monday?
We run email and SMS for ecommerce brands, so this is our daily reality. Here's the current state of it, including the parts Klaviyo has fixed and the parts it hasn't.
What Klaviyo gives you out of the box
Account switching. If your login is added to multiple Klaviyo accounts, the account menu (top right in Klaviyo) lets you switch between them. No more logging in and out, but you're still viewing one account at a time.
Portfolio. Klaviyo's Portfolio view rolls multiple accounts into one screen with top-line metrics. If you haven't looked at it, start there. It's the biggest multi-account improvement Klaviyo has shipped.
User roles. You can be added to a client's account with a role (admin, manager, analyst, and so on) instead of sharing passwords. Always do this. Never share logins.
Where it still hurts
After a few years of running this setup across clients, these are the gaps that don't go away:
Monday reporting is still manual. Portfolio shows top-line numbers, but a client-ready report still means screenshots or a BI tool. There's no white-label report you can hand a client with your own logo on it.
Nothing works on a phone. No mobile app, and the dashboard layout breaks on mobile browsers. If a client texts you "how did yesterday's send do?" while you're out, you're guessing or waiting.
No plain-English layer. The data is all there, but a client doesn't want 14 reports. They want "Klaviyo drove 52% of your revenue this month, your welcome flow is your best earner, and you're missing a win-back flow worth roughly $15K a month."
Health monitoring is reactive. You find out about a spam-rate spike when you happen to look, or when the client does.
How we fill the gaps (with the tool we built)

A sane weekly setup for a multi-account agency
- Clients add you to their Klaviyo accounts with proper roles. No shared passwords, ever.
- Use Klaviyo's Portfolio for a quick top-line scan.
- Put a monitoring layer with alerts on top so deliverability problems find you, instead of the reverse.
- Automate the Monday client report. Whatever tool you use, stop doing screenshots.
- Keep client-facing numbers in plain English with dollar figures. It's what gets retainers renewed.
The tooling took us a few years to get right. The habits matter more than the tools, but the right tools make the habits cheap.
